What to Expect When You Build a Van With White River Overland
A semi-custom van build is a big decision, and it helps to know what you're actually signing up for before you commit to one. We get a lot of questions about how our process works, so we put together this guide to walk you through it from start to finish: from the first time you reach out to the day you drive away, and everything we do for you after that.
Here's exactly what to expect.
Step 1: Reaching Out
Every build starts with you telling us about your project. The fastest way to do that is through our van build intake form, where you'll share your platform preference (or tell us you're still deciding), your budget range, how you plan to use the van, and the features that matter most to you. If you haven't settled on a van yet, our Sprinter vs. Transit vs. ProMaster guide breaks down wheelbase and platform decisions so you can walk into your consultation with a clearer picture.
We ask you to fill out the intake form before we talk so that when we do get on a call, we're not spending it on the basics. We're spending it on your actual project.
Step 2: The Consultation
Once we have your intake form, we'll set up a free 15-minute call, phone or video, whichever you prefer. It's a no-pressure conversation about platform options, build scope, timeline, and anything else on your mind. It's not a sales pitch. It's us making sure we understand what you're trying to build and whether we're the right shop for it.
Step 3: The Estimate
After the consultation, we'll put together an estimate based on the scope we discussed together, your platform, your must-have systems, and your layout goals. This is where we're upfront about cost and timeline so you can make an informed decision before anything moves forward.
Because we only take on one full build at a time, a deposit is what secures your build slot on our calendar. There's zero commitment in reaching out or getting an estimate, but once you're ready to move forward, that deposit is what locks in your spot in the queue and gets your project officially underway.
Step 4: Design
This is where your van starts to take shape on paper. We take the time to understand your goals, your gear, and how you actually plan to use the van, not a generic template we push on every customer. We'll sketch concepts, talk through layout options, and map out every system your build needs, from power and water to storage and sleeping arrangements.
This is also the phase where we line up your components. We source from a select group of industry partners we trust and use in all of our builds, includingVictron Energy andBattle Born for power systems,Webasto for heating, andAgile Off-Road for suspension. If you're building around aSAGA Interior Kit or SERG Supply components, we're a certified installer and can walk you through those options here too. We don't chase whatever's cheapest or most convenient to source. Every brand we install has earned its spot through real performance in the vans we build and the rigs we personally run.
Step 5: Production
Once the design is locked and your components are lined up, your van moves into the build phase. And here's the part we think matters most: while your van is in production, it's the only build in our shop. We don't run multiple full conversions at once, so your project isn't competing for bay space, materials, or our attention with someone else's van. Every cut, every wiring run, every finish detail is done by hand, and it's done with your build as the sole focus until it's finished.
You can see that approach reflected in builds likeAbeona,Wolf Den,Zen Den, andMeili, four very different vans built around four very different lifestyles, all with the same level of craftsmanship.
Step 6: Pickup and Training
Before we ever hand you the keys, we test every system in your van ourselves: electrical, plumbing, heating, everything. We want to catch and fix anything that needs attention before it becomes a problem on the road.
Then comes the walkthrough. We go through your van system by system so you leave knowing how everything works, not guessing when you’re at a remote campsite. This is your chance to ask every question you can think of while we're standing there with you.
Step 7: After-Build Support
The relationship doesn't end at pickup. Every build includes a one-year warranty, and our team stays available for questions, adjustments, and support well beyond that. If something needs attention down the road, whether it's routine maintenance, a system tweak, or a repair, our service and maintenance team is here for it. We want to make sure your van keeps performing for years of travel.
Why People Choose to Build With Us
A few things set our process apart, and they're worth calling out directly:
One build at a time. We're a small shop by design. When your van is in our shop, it has our full focus, not a rotation or assembly line with three or four other projects.
Gear we'd run ourselves. We only install components from partners we trust, like Victron, Battle Born, Webasto, and Agile Off-Road, and more because we use this same gear on our own vehicles and have been installing these components for almost a decade.
A 5-star reputation. We currently hold a 5.0 rating across ourverified Google reviews. A few things our customers have said:
Kyle J. told us WRO "took the time to understand my needs" and researched every option before landing on the right approach for his Sprinter build.
Sam C. said dealing with any issue after their build was as simple as a quick text, and that "peace of mind is hard to come by" in this industry.
Elli R. described our team as "kind, communicative, and prompt," with a passion for the work that shows.
Avery S. said we delivered exactly what they wanted, "on time and on budget," without trying to upsell them into a design that wasn't theirs.
Lewis C. called our crew "extremely knowledgeable, value oriented problem solvers" who are genuinely good people to work with.
